Key Responsibilities:
1. Records & Meeting Administration
- Prepare, distribute, and post meeting agendas and notices in compliance with the Open Meetings Act
- Accurately record, publish, and archive meeting minutes and all Village documentation (ordinances, resolutions, contracts, etc.)
- Serve as parliamentarian during Village Council meetings
- Maintain complete and secure records of Village operations
- Respond to public inquiries and provide accurate information about Village services, ordinances, and policies
- Manage Freedom of Information Act (FOIA) requests in compliance with state law
- Update and maintain the Village’s website and communication materials
- Collaborate with the Village Treasurer on payroll, invoices, and budget preparation
- Maintain financial records as required by the General Law Village Act – Act 3 of 1895
- Manage licenses, permits, and Village document issuance
- Ensure the Village remains compliant with local, state, and federal regulations
- Prepare and submit required filings, reports, and census/audit documentation
- Liaise with government agencies and legal counsel as needed
- Manage recruitment, onboarding, personnel files, and benefits
- Support policy development and training
- Coordinate employee evaluations and workplace compliance
- Serve as Cemetery Sexton and Street Administrator
- Provide general administrative support and assist with Village projects and community initiatives
Required Qualifications:
- Knowledge of municipal operations and laws, including the Open Meetings Act, FOIA, and DDA regulations
- Strong recordkeeping, administrative, and communication skills
- Ability to work independently and collaboratively
- High level of integrity, discretion, and professionalism
- Proficient in Microsoft Office Suite and digital communication platforms
- Comfortable engaging with the public in a helpful, courteous manner
Preferred Qualifications:
- Previous experience in local government, public administration, or similar role
- Familiarity with financial software and municipal reporting tools
- Certification or coursework in municipal clerk training
Professional Development Requirements:
- Must be (or become upon hire) a member of the Michigan Association of Municipal Clerks (MAMC)
- Enroll in and complete the MAMC Basic Institute (or equivalent training program) within 3 years
- Commitment to ongoing professional development and continuing education
Work Environment:
- Expected to maintain a minimum of 4 public office hours per week. This minimum does not represent the total expected workload. The Clerk is responsible for fulfilling all duties of the position, which will require additional time in the office or working remotely, depending on the needs of the Village.
- Attendance required at all DDA and Village Council meetings (evenings)
- Combination of in-office and remote work depending on workload and responsibilities
- Frequent interaction with residents, officials, and outside agencies
- Yearly review held
